Tasks
Tasks is for one-off work items that don’t need a recurring schedule or checklist structure. It’s found under Operations in the left-hand navigation.
Unlike Checklists, where non-managers only see runs assigned to them, the Tasks list isn’t scoped by assignee at all - every employee sees every task at the restaurant, not just their own. Anyone can mark a task or subtask they can see as done; only managers (Owners, Ops Managers, Managers) can create tasks or delete them.
Creating a task
Section titled “Creating a task”- Click New Task (managers only).
- Fill in:
- Title (required)
- Description
- Assign to - or leave unassigned. The dropdown lists every employee at the restaurant, not just those at one branch.
- Priority - Low, Medium, High, or Urgent (defaults to Medium)
- Deadline - date and time
- Category - a free-text label
- Click Create Task.
The task list is sorted by deadline, soonest first (tasks with no deadline set sort to the end).
No notification is sent when a task is created or assigned - there’s nothing that pings the assignee, so they’ll only find out by checking the Tasks page themselves.
Subtasks
Section titled “Subtasks”Any task can have subtasks nested under it. Click + Add subtask below a task, type a title, and click Add - the subtask inherits Medium priority and shows indented under its parent, with its own status. The parent task shows a badge like “2/5” tracking how many of its subtasks are done. A subtask is really just another task row with parentTaskId set, created through the same form as a top-level task - it gets its own deadline-less, unassigned defaults unless you set them.
Completing and managing tasks
Section titled “Completing and managing tasks”- Anyone can click Mark done on a task or subtask they can see to complete it.
- Managers can delete a task or subtask using the trash icon; deleting a parent task does not automatically require its subtasks to be handled first.
- Each task row shows its assignee (linking to their employee profile), deadline, category, priority badge, and status badge.
Task status only has two real states: pending and completed. There’s no “in progress” step in between - clicking Mark done is the only way status changes, and it moves straight from pending to done. A task whose deadline has passed still shows a pending badge; nothing in the app automatically relabels it “overdue,” so treat the deadline shown on the row as the source of truth rather than the badge color.
Frequently asked questions
Section titled “Frequently asked questions”A task’s deadline passed but it still just says “Pending” - is that a bug? No. Tasks and subtasks only move from pending to completed when someone clicks Mark done - there’s no in-progress state and no automatic “overdue” relabeling. Check the deadline shown on the row itself rather than relying on the badge.
