SOPs
SOPs (Standard Operating Procedures) document how to perform a specific process, broken into steps, with a record of which employees have acknowledged reading it. It’s found under Operations in the left-hand navigation. SOPs aren’t organized into folders or categories - the main SOPs page is a single flat list, newest first, with no search box, so for a restaurant with many SOPs it’s easier to reach the right one from a role’s SOPs tab or a responsibility’s linked SOPs than to browse the full list. Each row on that list also shows the SOP’s version number and how many employees have acknowledged it so far, alongside your own Acknowledged/Review needed badge.
Creating an SOP
Section titled “Creating an SOP”- Click New SOP (managers only).
- Fill in a Title and Description.
- Optionally attach one or more files under Attachments.
- Click Create SOP - you’re taken to the new SOP’s page, which starts at version 1 with no steps yet.
Once created, an SOP’s title, description, and attachments can’t be edited or removed from the app - only the steps underneath can be added, edited, reordered, or deleted afterward. There’s also no delete option for an SOP itself. If you need to fix a typo in the title or description, or remove an SOP entirely, you’ll need to create a replacement (and contact support to have the old one removed).
Adding steps
Section titled “Adding steps”- On the SOP’s page, click Manage Steps.
- Click + Add Step (the toggle at the bottom of the step list).
- Give the step a Title, optional Instructions, and an optional Photo.
- Click Add Step.
While in Manage Steps mode you can also:
- Edit any step’s title or instructions directly - changes autosave about 600ms after you stop typing (the same debounce used for editing role responsibilities and checklist repeat rules elsewhere in the app).
- Upload a new photo on a step - this saves immediately, without waiting for the debounce.
- Drag a step by its ⠿ handle to reorder it - this also saves immediately.
- Click Delete on a step to remove it.
Click Done Managing to return to the normal view.
Reading and acknowledging an SOP
Section titled “Reading and acknowledging an SOP”By default, an SOP opens in a step-by-step walkthrough: one step at a time, with Previous/Next buttons and dot indicators showing progress, plus a View all steps link to see everything at once on one page.
If you haven’t acknowledged the SOP yet, an Acknowledge button appears near the top, under the description and any attachments. Clicking it records your acknowledgement (with your name and the date) and replaces the button with an “Acknowledged” badge. This same badge, or a “Review needed” badge if you haven’t acknowledged it yet, shows next to each SOP in the main SOPs list.
Acknowledgement is a one-time, per-employee record - there’s no way to un-acknowledge, and nothing prompts anyone to re-acknowledge later. The version number shown next to the title (e.g. “Version 1”) is set once when the SOP is created and doesn’t increment automatically; editing, adding, or reordering steps afterward doesn’t bump it or clear anyone’s existing acknowledgement, so there’s no built-in way to signal “this changed enough that everyone needs to review it again” beyond communicating that yourself - for example, via Announcements.
Managers can see the full Acknowledgements list at the bottom of an SOP’s page - every employee who has acknowledged it and when.
Frequently asked questions
Section titled “Frequently asked questions”Can I fix a typo in an SOP’s title or description after creating it? Not from the app - title, description, and attachments are locked in at creation, and there’s no delete option for an SOP either. Only the steps underneath can be edited, added, removed, or reordered afterward. If the title or description needs to change, create a replacement SOP and contact support to remove the old one.
Does editing an SOP’s steps make everyone acknowledge it again? No. Acknowledgement is a one-time record per employee, and editing, adding, or reordering steps doesn’t clear it or bump the version number shown next to the title. If a change is significant enough that staff should review it again, you’ll need to tell them directly - for example, via Announcements.
An SOP attachment or step photo link stopped opening. Those links are temporary and expire after about an hour. Reopen the SOP’s page to get a fresh link.
