Restaurant & Branches

Go to Restaurant in the navigation to manage your restaurant’s name, branches, contract categories, contract style/terms, timesheet report emails, org chart, and holidays. The page is restricted to Owners and Ops Managers - any other role that visits it directly is redirected straight back to the Dashboard, so there’s no partial view for branch Managers or Supervisors.

  • To rename your restaurant, update the Name field under the restaurant section and click Save.
  • The Show pay to employees toggle controls whether employees can see their own pay rate information anywhere in the app. Turn it off if you’d rather keep pay details manager-only.
  • This toggle is restaurant-wide, but each branch has its own Show pay to employees toggle further down the page that overrides it - so you can, for example, hide pay everywhere except one branch, or vice versa.
  • The One login at a time for employees toggle (off by default) limits each employee to a single signed-in device. With it on, when an employee signs in somewhere new, every other device they were signed in on is signed out and lands back on the login page with “You were signed out because your account signed in on another device.” Managers, Ops Managers and Owners are never affected - they can keep a desktop and a phone signed in at once. Turning it on doesn’t sign anyone out straight away; it applies from each employee’s next sign-in.

Contract categories (for example “Full-time” or “Part-time”) define the baseline rules for a group of employees, and every employee belongs to exactly one.

  1. Click Add category at the top of the Contract Categories section.
  2. Enter a Name and the Minimum weekly hours for that category.
  3. Click Add category to save it.

For each existing category you can also:

  • Change its name or minimum weekly hours and click Save on that row. Minimum weekly hours must be zero or greater (the field accepts half-hour increments, e.g. 37.5).
  • Toggle Allow edit days - whether employees in this category can change which days they’re scheduled to work.
  • Toggle Allow edit times - whether employees in this category can adjust their own start/end times.
  • Delete a category using the trash icon - this happens immediately, with no confirmation prompt. Categories that are still filled by employees can’t be removed until they’re reassigned.

Category names must be unique within your restaurant - trying to save a duplicate name (on create or rename) gives you “A contract category with that name already exists.” instead of saving.

A Full-time category (40 minimum weekly hours) is created automatically the first time it’s needed - for example, the first time an employee is imported from Nmbrs (see Importing employees) - if your restaurant doesn’t already have one with that exact name. This is a get-or-create lookup by exact name, so if you’ve already created your own “Full-time” category by hand, that one is reused instead of a second one being added. You can edit or repurpose it like any other category afterward.

If Contract Maker is enabled for your restaurant, a Contract section here controls the look and boilerplate of the per-employee contracts generated from an employee’s profile (see Contract (Contract Maker) in the Employees guide for actually generating one). Two things live here at the restaurant level:

  • Contract style - a radio choice between three visual presets, applied as soon as you pick one:

    • Classic - dark section banners and bordered boxes.
    • Modern - soft card sections with a colored accent bar and generous spacing.
    • Minimal - plain headings and paragraphs, no borders or backgrounds (the most compact option).

This only changes the appended Terms & Policies section described below - it never affects the core statutory employment-agreement text above it, which stays identical regardless of style.

  • Terms & Policies - a rich text editor for any additional company policies, house rules, or clauses you want appended after the standard contract fields on every generated contract (for example a dress code, a probation policy, or a non-compete clause). Write and format it, then click Save terms - it applies to contracts generated afterward.

Terms & Policies is sanitized on the server before it’s stored, independently of whatever cleanup the editor itself does on paste, since the saved HTML is later embedded directly into a rendered contract PDF and shown to every manager who views that employee’s contract. In practice this means:

  • Supported formatting is limited to an allowlist: paragraphs, bold/italic/underline/strikethrough, bulleted and numbered lists, headings, links, blockquotes, and tables. Anything else pasted in (scripts, embeds, unusual markup) is stripped.
  • Images must be small inline images embedded directly in the content (for example, pasted from your clipboard) - links to externally hosted images are stripped out, since generating the PDF never fetches a remote URL. Supported image formats are PNG, JPEG, GIF, and WebP.
  • Links you add are automatically set to open in a new tab.
  • There’s a combined size limit of about 2MB on the saved Terms & Policies content, images included. If you’re over the limit, saving fails with a message telling you roughly how large your content is and what the limit is - trim text or remove a pasted image and try again.
  • Pasting from Word or similar word processors can leave behind empty spacer paragraphs and fake-indentation whitespace; SessionPilot strips the most common cases automatically after sanitizing, but unusually formatted pastes may still need manual cleanup.
  1. Click Add branch in the Branches section.
  2. Enter the branch Name and, optionally, its Address.
  3. Click Add branch to create it.

If your plan has a branch limit and you’re already at it, Add branch fails with a message naming your plan and its branch limit (for example “You’re on the Starter plan (up to 2 branches). Contact support to upgrade.”) instead of creating the branch - see Billing for where your plan is shown. Your effective branch limit comes from your plan tier by default, but SessionPilot can also set a custom limit just for your restaurant that overrides the tier’s number - either way, no limit at all means unlimited branches.

For each branch, you can also manage:

  • Location - click Set location (or Edit if one is already set) to enter latitude/longitude, or click Use my location to fill them in automatically from your browser. Latitude must be between -90 and 90 and longitude between -180 and 180. This is informational (used for the branch’s weather widget on the Dashboard) rather than an enforced check - SessionPilot doesn’t reject a clock-in for being outside a radius. Physical presence is instead enforced by the kiosk itself: a PIN or rotating QR code tied to a shared device at the branch, covered in Attendance & Clocking In.
  • Areas - click Add area to create a named area (e.g. “Kitchen”, “Bar”) with a type of Kitchen, Storage, Dining, or Bar. Areas show as badges under the branch.
  • Kiosk link - every branch has its own check-in link and QR code (/kiosk/<token>) for staff to clock in on a shared tablet. Click Copy link to copy it, or Reset to generate a new link (this invalidates the old one immediately - anyone still using the old QR code or bookmarked link can no longer check in with it - so update any printed QR codes right after resetting).
  • Check-in method - choose whether staff clock in at this branch using a PIN or by scanning a QR code. This choice only changes the hint text shown at the kiosk link and how the kiosk screen behaves; it doesn’t require a separate reset of the kiosk link itself.
  • Show pay to employees - the same pay-visibility toggle as above, but scoped to just this branch (overrides the restaurant-wide setting for staff at this location).
  • Operating hours - click Operating hours to expand a weekly schedule. For each day, mark it Closed or set an open and close time, then click Save hours. A day left unmarked defaults to 09:00-22:00 open until you save it explicitly.
  • Delete a branch using the trash icon - this also happens immediately with no confirmation step, so double-check before clicking it.

If payroll reporting is enabled for your account, a Timesheet Reports section lets you set up automatic email summaries:

  1. Turn on Send timesheet reports.
  2. Choose how often to send them: Daily, Weekly, or Monthly.
  3. Choose the send time (hour of the day) the report should go out.
  4. Optionally add extra recipients - additional email addresses (besides the account owner) who should also receive the report. Separate multiple addresses with commas; each one is validated as a proper email address before saving.
  5. Toggle Include labor cost if you want the report to show estimated labor cost alongside hours.
  6. Set a Late threshold (minutes) - how many minutes after a shift’s start time counts as “late” in the report. Must be a whole number between 0 and 120.
  7. Click Save to apply your settings.

Below that, check the box next to each branch you want included in the report - branches left unchecked are excluded, and each checkbox saves itself immediately when toggled.

Use Send test email at any time to send yourself a sample report immediately, without waiting for the schedule - the confirmation names exactly which address(es) it went to. The page also shows when the report was last sent, or the error message from the last failed attempt, if any (this error persists on the page until the next successful send).

The period each frequency actually covers:

Frequency Period covered
Daily Yesterday - the full previous calendar day
Weekly The same “last week” range used by Payroll & Hours
Monthly The same “last month” range used by Payroll & Hours

The Org Chart section is a read-only view showing your restaurant’s reporting structure: Owners and Ops Managers at the top, then each branch’s Managers, Supervisors, and Employees underneath. Anyone listed can be clicked through to their employee profile. Anyone not yet assigned to a branch role appears in an Unassigned list at the bottom. Terminated employees are left out of the chart entirely, so it always reflects your current active team.

  1. Click Add holiday in the Holidays section.
  2. Set the Date and a Name for the holiday.
  3. Choose which branch it applies to, or leave it as All branches.
  4. Choose the holiday type:
    • Closed - the branch is fully closed that day.
    • Half day - the branch operates on reduced hours (handled elsewhere in scheduling).
    • Custom hours - set specific open and close times just for that day (only this type stores its own open/close times; the other two don’t need them).
  5. Click Add holiday to save it.

Existing holidays are listed with their date, type, and branch, and can be removed with the trash icon (also immediate, no confirmation prompt).

Two related settings live on the Shift Plan page instead of the Restaurant page: click the gear/Settings icon at the top of Shift Plan (visible to those who can manage planning) to open Shift plan settings, where you can toggle:

  • Warn on skill mismatch - asks for confirmation before assigning someone who isn’t skilled for that role.
  • Warn on availability mismatch - asks for confirmation before assigning someone outside the availability they’ve submitted.

Both apply restaurant-wide and are on by default.

I reset a branch’s kiosk link and now the tablet shows an error. That’s expected - resetting invalidates the old link/QR code immediately. Copy the new link (or reprint the new QR code) and update whatever’s displayed at that station.

I can’t delete a contract category. It’s still assigned to at least one employee. Move those employees to a different category first, then delete it.

An employee can still see their pay after I turned off “Show pay to employees.” Check both places: the restaurant-wide toggle on the Restaurant page, and that employee’s branch-level toggle, which overrides the restaurant-wide one for anyone at that branch.

I don’t see a Contract style / Terms & Policies section. Contract Maker isn’t enabled for your restaurant. Contact support if you want to turn it on.
