Attendance & My Shifts
Clocking in and out
Section titled “Clocking in and out”Every branch is set up by a manager to use one of two clock-in methods. You don’t choose which one - whatever your branch uses is what you’ll see.
- PIN code - you type a personal numeric code (4-8 digits) on a shared kiosk screen.
- QR code - you scan a code displayed on a shared kiosk screen using the app’s own camera scanner.
You can clock in and out from either the Attendance page (or the clock-in card at the top of My Shifts) in the app itself, or from a shared kiosk screen at the restaurant that doesn’t require logging in.
How to clock in/out at a kiosk (PIN)
Section titled “How to clock in/out at a kiosk (PIN)”- On the kiosk screen, enter your personal code using the on-screen keypad.
- Tap Clock in / out.
- The screen confirms your name and the time. If you were already clocked in, the same code clocks you out instead and shows how long you worked.
- If your code isn’t recognized, check it with your manager.
How to clock in/out at a kiosk (QR)
Section titled “How to clock in/out at a kiosk (QR)”- The kiosk screen shows a QR code instead of a keypad.
- Open the SessionPilot OPS app on your phone, go to Attendance or My Shifts, and tap Scan to clock in (or Scan to clock out if you’re already clocked in).
- Point your phone’s camera at the code on the kiosk screen.
- Once it scans successfully, you’re clocked in or out immediately.
The QR code on the kiosk screen refreshes automatically every few seconds for security, so a photo or screenshot of it stops working almost immediately - always scan the code that’s currently on screen.
Clocking in from the app instead of a kiosk
Section titled “Clocking in from the app instead of a kiosk”If your branch uses PIN check-in, you can also just tap Clock In directly on the Attendance page or the My Shifts page - no kiosk needed, as long as you’re signed in and assigned to a branch. On the My Shifts page, the clock-in button only appears once you have an approved shift starting soon or already underway.
If your branch uses QR check-in, the app will tell you to scan the code instead of offering a plain clock-in button - this keeps clock-ins tied to actually being at the restaurant.
Taking a break
Section titled “Taking a break”Once you’re clocked in (PIN branches), you’ll see Start Break next to Clock Out on the Attendance page. Tap it when you go on break, then tap End Break when you’re back. Your break time is automatically subtracted from your worked hours.
Your weekly hours and history
Section titled “Your weekly hours and history”The Attendance page shows a small tile with your total hours worked so far this week and how many days you’ve worked. Below that, employees see a running history of their own past clock-ins/clock-outs, each with a status badge (normal or late) and the shift’s duration.
What managers see on the Attendance page
Section titled “What managers see on the Attendance page”Managers, supervisors, ops managers, and owners see extra sections instead of a personal history:
- On-site now - a live list of everyone currently clocked in, with their branch, when they clocked in, and a running duration that updates automatically. Managers (not supervisors) can force-clock someone out from here - useful if someone forgot to clock out.
- Attendance report - a filterable table of clock-ins/clock-outs across a date range, optionally narrowed to one branch. Each row shows the employee, branch, date, clock-in/out times, duration, and a status badge. A shift is automatically marked late if the employee clocked in more than 10 minutes after their scheduled start time.
- Export CSV - downloads the currently filtered report as a spreadsheet file.
- Kiosk links - managers can reveal each branch’s kiosk web address and copy it to set up a shared tablet or terminal at the restaurant.

My Shifts
Section titled “My Shifts”The My Shifts page is where employees check their schedule and, when a manager has opened a planning period, tell the restaurant which days/times they can work.
Viewing your upcoming shifts
Section titled “Viewing your upcoming shifts”- Open My Shifts. At the top you’ll see this week as a row of day pills (or switch to Show month for a full calendar).
- Days with a shift scheduled show a small dot; tap Today to jump back to the current date at any time.
- Selecting a day shows your shift(s) for that day as chips above a 24-hour timeline, with each shift’s time range and role/station.
- Tap a shift chip or its block on the timeline to open a detail popup with its exact time and role.
- If the branch is closed that day (per its weekly hours or a holiday), a banner and diagonal shading on the timeline make that clear. Holidays with special hours also show a banner with the adjusted open/close time.
Your expected arrival time (if your manager has set one for you) is also shown near the top of the page on larger screens.
Submitting availability for an open planning period
Section titled “Submitting availability for an open planning period”When a manager opens a planning period for upcoming scheduling, days within that period show a small circular indicator on the calendar:
- + - nothing submitted yet for that day.
- ✓ (grey) - you’ve answered but haven’t confirmed it yet.
- ✓ (green) - your answer for that day is confirmed.
To submit your availability for a day:
- Tap the + (or ✓) indicator on that date.
- Choose Available or No availability for that day.
- If you chose Available and your contract lets you set your own hours, drag the time range slider to the hours you can work, then tap Save.
- If your hours are fixed by your contract (see below), you’ll just see your standard hours displayed - there’s nothing to adjust, just confirm.
- Tap Save availability. The indicator turns into a confirmed green checkmark.
Only days inside a currently open planning period can be edited this way; days outside any open period, or once a period has closed, can no longer be changed from this screen.
Employees with fixed hours vs. flexible hours
Section titled “Employees with fixed hours vs. flexible hours”Not every employee has the same freedom to set their own availability - it depends on the contract category your manager has assigned you to:
- Fully flexible (the default when no category restricts you): you can mark any day as available or unavailable, and freely choose your own start/end time for each day.
- Fixed days, flexible times: you can’t opt in/out of specific days, but where you are marked as working you can still adjust your hours.
- Fixed days and fixed times: both which days you work and your hours on those days are locked to your default schedule - a standard weekly pattern your manager has set up for you. In this case the availability step is really just a confirmation: your default schedule is used automatically, and if your contract locks everything, it’s treated as already confirmed without you needing to do anything.
When your times are locked, the app shows your default schedule for that weekday instead of a slider. A default schedule can include more than one time block per day - for example, a split shift of 09:00-13:00 and 17:00-21:00 - and if so, all of that day’s blocks are shown together as your fixed hours.
If any part of your availability is locked, the modal shows a short note explaining that your days or times are fixed by your contract - ask your manager if you think it needs to change.
